Privacy Policy

We collect only the minimum information necessary to operate the Service:

• Account information: email address and username if you create an account.
• Usage data: anonymised interactions with the app to improve your learning experience.
• Contact form submissions: name, email, and message when you contact us via our website.
• Push notification preferences: whether you have enabled or disabled study reminders, stored as part of your account settings.

Woody allows you to upload files or provide text and links to generate flashcards using AI.

• Uploaded content is processed solely to generate flashcard decks and is not stored beyond the time required for this processing.
• There is no link between you as a person and the words or flashcards generated. Once flashcards are created and stored, they are treated as anonymous learning content.
• Third-Party Processing: To process text, we securely transmit the extracted text to a trusted third-party API. We have strict agreements in place guaranteeing that this provider will not store your data and will never use your content to train AI models.
• Automated Anonymization & Sensitive Data: Before processing, we utilize our own private, non-public AI models to automatically detect and redact sensitive information from your uploads. However, because AI systems can occasionally make mistakes, we strongly advise that you do not upload documents containing highly sensitive personal, financial, or confidential information.

• To provide, operate, and improve the Service.
• To respond to your questions or feedback submitted via the contact form.
• To send optional product updates (only if you have opted in).

We do not sell, rent, or trade your personal information to any third party.

You can permanently delete your account directly in the Woody app. This process is immediate and cannot be undone. All your personal data, flashcards, and statistics will be erased. To delete your account:

1. Go to your profile page and tap the settings symbol in the top right corner.
2. Scroll to the bottom and tap the Delete Account button.
3. Enter the word DELETE as requested, then tap the delete button to confirm.

If you have any issues deleting your account, please contact us at support@woodyword.com and we will assist you.

Personal account data is retained for as long as your account is active. You may request deletion at any time by following the steps above or by contacting us at support@woodyword.com. Anonymised flashcard content may be retained to benefit other learners.

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Request correction or deletion of your personal data.
• Object to or restrict certain processing of your data.
• Port your data to another service.

The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13.

We implement industry-standard technical and organisational measures to protect your data against unauthorised access, loss, or disclosure. All data is transmitted over encrypted connections (HTTPS/TLS).

We use third-party services that process data on our behalf under strict data processing agreements. We do not permit these providers to use your data for their own purposes.

Analytics: We use Mixpanel to collect anonymised usage events (such as which features are used and how often) in order to improve the Service. No personally identifiable information is sent to Mixpanel.

AI providers: Vocabulary definitions and story content are generated by third-party AI services. All content sent to these providers is first processed to detect and mask personally identifiable information.

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice in the app or on our website.
